Purpose

The Assistant Administration provides essential administrative support to ensure smooth daily operations and to enable the Sustaining Capital team to achieve its objectives. This role focuses on scheduling, documentation, coordination, and communication tasks that keep the team organized, informed, and operating efficiently.

Key Responsibilities

Core Work Activities

The Assistant Administration will:

  • Coordinate calendars, schedule meetings, and manage appointments.
  • Prepare meeting agendas, take minutes, and track follow up action items.
  • Organize, maintain, and securely store team documents, files, and records.
  • Assist in preparing reports, presentations, and official correspondence.
  • Arrange travel logistics, including itineraries and accommodation bookings.
  • Manage office supplies and equipment inventory, ensuring timely restocking.
  • Handle incoming and outgoing communications (email, phone, mail) and route them appropriately.
  • Support the planning and execution of team events, workshops, and training sessions.
  • Assist with onboarding new team members, providing administrative and orientation support.
  • Coordinate with the broader admin team to ensure timely communication and alignment across operations and functional teams.

Additional Responsibilities

  • Maintain and update internal databases, trackers, and dashboards.
  • Monitor compliance with company policies, ensuring proper documentation and approvals.
  • Prepare and process expense reports, purchase orders, and vendor invoices.
  • Serve as a point of contact for internal and external stakeholders.
  • Assist in drafting and reviewing basic contracts or service agreements under supervision.
  • Track project milestones and deadlines, sending reminders and status updates.
  • Support HR administrative tasks such as leave tracking and personnel record maintenance.
  • Manage digital collaboration tools (SharePoint, Teams, etc.) and ensure proper access and organization.
  • Compile data for monthly or quarterly performance reports and support basic analysis.
  • Identify opportunities to streamline administrative processes and improve efficiency.

Knowledge & Qualifications

  • Formal education in Business Administration or a related field.
  • Practical experience in administrative support, document management, and coordination.
  • Strong proficiency in English (spoken and written).
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency in Microsoft Office Suite and collaboration platforms (Teams, SharePoint).
  • Strong communication and interpersonal skills for effective stakeholder engagement.

Technical Skills

  • Competency in Microsoft Word, Excel, and PowerPoint.
  • Experience with business systems such as SAP, Discovery, or similar platforms (preferred).
  • Strong written and verbal communication skills.
  • Ability to work effectively in a global team environment, both in person and remotely.
